6.3 Exception Handling for Incorrect Replacements (Re-Take Not Used)
How reviewers can resolve rejected items when field personnel submit replacement photos outside the required Re-Take workflow.
Overview
The Quality Review process requires field personnel to replace rejected photos using the Re-Take workflow. This ensures the replacement photo is correctly linked to the original rejection, surfaces in the Resubmitted category, and maintains a clean audit trail.
However, if a field user submits a replacement photo incorrectly—by uploading a new photo manually instead of using Re-Take—it creates a mismatch. The system cannot associate the new photo with the original rejected item, leaving the review blocked.
Pathwave provides an exception-handling method reviewers can use to resolve these situations without requiring a field revisit. This method is not best practice, but it enables progress when timing, access, or customer deadlines require flexibility.
How Review Feedback Appears in the App
When a photo is rejected or flagged by a reviewer, the field app displays:
- The rejection reason
- Reviewer comments
- Markup (circles, arrows, highlights)
- Original and replacement photos (if applicable)
- A red badge indicating action is required
This gives crews complete clarity about what needs to be corrected.

Correcting a Rejected Photo
When a field user selects a rejected photo:
- The rejection reason and comments appear.
- Markup (if added) overlays the image.
- The user selects Re-Take.
- The camera opens directly to capture the replacement.
- The user can view:
- The original photo or
- New replacement photo
- The user selects Submit.
The replacement immediately appears in the reviewer’s Resubmitted Photos category.

To ensure all corrections are properly tracked and validated, field personnel must follow the designated photo replacement workflow when responding to rejected photos.
Uploading a new photo outside the Re-take flow (for example, adding a new photo manually, or capturing from outside the rejected item) will:

Break the linkage to the reviewer’s rejection

Prevent the replacement from appearing in Resubmitted Photos

Leave the rejected item unresolved

Cause inconsistencies in the review

Delay review completion and closeout packages
Always open the rejected item, review the feedback, select Re-Take, and submit the replacement from within that screen.
Exception Handling Workflow
How to clear the blocked rejected photo so the reviewer can accept the new submission.
Follow these steps:
Step 1 — Locate the Rejected Photo
Open the Quality Review workspace and select the photo still sitting in the Rejected category.
Step 2 — Change the Status to “Unreviewed”
Change the photo from Rejected → Unreviewed.
This resets the internal state of that item and allows further actions.

Step 3 — Hide the Photo From the Review
Select Hide From Review.

This removes the incorrectly linked rejected item from:

Review progress counts
-
Category tallies
-
Blocking conditions for Finalizing the Review
Step 4 — Navigate to the Correctly Submitted Photo
Locate the replacement photo the field user submitted incorrectly.
This will typically appear under:

The original photo category (primary or site owner list)
-
“Need Review”
-
Or as a new captured photo, depending on timing and location
Step 5 — Review and Accept the New Photo
Review the newly submitted photo and use the Accept action to approve it as the valid documentation.
This restores proper review completion logic.
