Provide job access to subcontractors by assigning a Job to a Subcontractor.
Once a Pathwave portal is set up for each Subcontractor, the Contractor or Subcontractor can create jobs and provide access in either direction.
Pathwave is flexible in accommodating contractor to subcontractor relationships and operations. There are two ways to share and access jobs that subcontractors are working:
- Create and assign jobs to subcontractors
- Subcontractors create jobs and grant access to the Contractor
Assign Jobs to Subcontractors
Provide job access to subcontractors by assigning a Job to a Subcontractor.
If the Contractor creates a Job and assigns the Job to the Subcontractor:
- Create a Job
- Assign the Subcontractor in the Job Details > “Subcontractor” section.
- Note: The Subcontractor needs to accept the Job in their portal before they can begin work. See Instructions for Subcontractors to Accept Assigned Jobs.
- The Contractor retains access and visibility to the Job while the Subcontractor works the job.
Accept Access to Jobs from Subcontractors
If the Subcontractor creates a Job and grants access to the Job:
- The Contractor needs to accept the Job in their portal:
- Navigate to the Dashboard
- Jobs Assigned to Subcontractors > Action Required
- Accept
- Alternatively:
- Navigate to Jobs > Manage Job Assignments
- Jobs Assigned to Subcontractors > Action Required
- Accept
Job Visibility
1. Critical job details are visible to the subcontractors with access to the job:
- All Job Details including Customer and Additional Job Fields
- Reference Documents
- Safety Documentation
- Fillable Forms
- Primary Photo List, Site Owner Photo List, Internal Photo List, and Job-Specific photos
- Closeout Requirements and Folders
- Generated Closeout Packages generated by the subcontractor
- Job Role Assignments (assigned Construction Managers, Project Managers, etc.)
- Job Notes
2. Job information specific to your organization:
- Job Status - every organization has their own job status and cannot change another company’s job status.
- Restricted Documents
- Generated "All Photos" zip files
- Closeout Settings set on a job
- Job Labels
- Assigned Crews
3. The following job information is not visible outside of your organization:
- Restricted Documents
- Generated Closeout Packages generated by your company (the Contractor)
- Generated "All Photos" zip files
- Closeout Settings set on a job
- Job Labels
- Assigned Crews
Editing Job Information
1. The following Job information is only editable by the organization that creates the job (the “job owner”). Other organizations can view but cannot edit or set this information.
- All Job Details
- Customer
- External Reference ID
- Primary Photo List
- Based on your configuration, Subcontractors may or may not change the Photo List Filters. By default, Subcontractors can change the Photo List Filters. Reach out to the Pathwave Support team to configure Photo List Filter edits for your organization and your subcontractors.
- Site Owner Photo List
- Note: if the Site Owner Photo List has not been set, a subcontractor can set the site owner photo list.
- Internal Photo List
- Additional Job Fields (adding field groups or editing fields)
2. Job information editable by anyone with access to the job.
- Primary Photo List Filters
- Based on your configuration, Subcontractors may or may not change the Photo List Filters. By default, Subcontractors can change the Photo List Filters. Reach out to the Pathwave Support team to configure Photo List Filter edits for your organization and your subcontractors.
- Fillable Documents - editing or adding new Fillable Forms to the job
- Fillable documents by default are configured to be collaborative between contractors and subcontractors with access to the job. Fillable documents can also be configured to only be editable by the user that started the form.
- Closeout Package Documents and Folders
3. Job Status - Automatic Triggers:
Every organization has their own job status and cannot change another company’s job status. The only exception to this is an automatic Job Status change triggered in the following scenario:
- Job is assigned to a Subcontractor
- Subcontractor’s job status changes to In Progress from JHA activity, photo taken, or form activity in the field.
- Contractor’s status is set to In Progress
